Regulations of the Poznań Cognitive Science Forum
§1 General Provisions
These regulations define the rules governing the organization of and participation in the Poznań Cognitive Science Forum conference (hereinafter: “the Conference”).
The Conference is organized by the Association of Students and Alumni of Cognitive Science operating at Adam Mickiewicz University in Poznań (hereinafter: “the Organizer”).
The Conference takes place at the time and location specified by the Organizer and announced on the event website.
Participation in the Conference—both passive (attendance) and active (presentation)—is free of charge.
§2 Participation in the Conference
Participants in the Conference may include individuals interested in the field of cognitive science, in particular: a) researchers and academics, b) students and doctoral candidates, c) representatives of institutions and companies related to the field, d) other individuals upon acceptance by the Organizer.
Registration for the Conference takes place through the registration form available on the event website.
Participants presenting papers or posters are required to submit abstracts within the deadline specified by the Organizer.
The selection of submitted papers is conducted through peer review of anonymized abstracts.
A submitted paper or poster must not have been previously presented at another scientific conference or published in any printed or electronic form.
Submission of a presentation constitutes a declaration that the presented content is original. If it is determined that the presentation has already been presented or published elsewhere, the Organizer reserves the right to reject the abstract.
§3 Rights and Obligations of Participants
Participants are required to comply with the principles of academic ethics and maintain appropriate conduct during the Conference.
Participants have the right to: a) attend lecture and panel sessions, b) present their own research (after acceptance of the submission), c) ask questions and participate in discussions, d) use conference materials.
The Organizer has the right to exclude from the Conference any participant who violates the regulations or principles of social conduct.
§4 Publication of Materials
The Organizer may propose the publication of selected works by participants in the form of a peer-reviewed post-conference volume or a scientific journal.
Submitted works will undergo a review process in accordance with the rules of the respective publication venue.
By submitting a work for publication, the participant declares that they are the author of the work and hold full copyright to it.
§5 Personal Data and Image Protection
The Organizer undertakes to process participants’ personal data in accordance with applicable data protection regulations.
Participants’ data will be used solely for the purpose of organizing the Conference and will not be shared with third parties without the participant’s consent, except in the cases described in point 3.
By submitting an abstract to the Organizer, the participant consents to the publication of their name, surname, affiliation, and email address in: a) the conference program, b) the book of abstracts, c) conference materials published on the Conference website and fan page.
Attendance at the Conference constitutes consent to: a) recording the participant’s image in the form of photographs and video recordings, b) publication of these photographs and recordings on the Conference website, fan page, and in the Organizer’s promotional materials.
Taking photographs or making audio-video recordings during the Conference without the prior explicit consent of the Organizer is prohibited. Unauthorized photographing or recording may result in the participant being immediately asked to leave the Conference venue.
Participants have the right to access their personal data, correct it, and request its deletion.
The Organizer reserves the right to remove photographs from materials upon the explicit request of a participant if their image has been used in a manner that violates their personal rights.
§6 Final Provisions
The Organizer reserves the right to introduce changes to these regulations, which will be announced on the Conference website.
In matters not regulated by these provisions, decisions shall be made by the Organizer.
Any disputes arising from participation in the Conference shall be resolved by the Organizer.
